GROUP ADMINISTRATIVE ASSISTANT – PERMANENT – COVENTRY -  £19,612 - £21,814

You will work as part of an effective administrative support team and you will support numerous Senior Administrators with their day to day activities. You will be the first point of contact for the administrative team for the Professional Services Team and provide general day to day administrative tasks to include ordering stationary, dealing with incoming post and deliveries, managing room bookings for meetings, maintaining all digital and paper files, raising purchase orders and expenses claims and some basic travel arrangement.

You will possess some office experience gained within a busy professional. You must be I.T. literate and have gained experience in MS Powerpoint

Key duties & tasks:-

  • Act as first point of contact for general/departmental phone calls and visitors, passing on messages and guiding visitors to appropriate colleague
  • Monitoring and procuring stationery and other office supplies, as necessary
  • Distribute all incoming mail, arrange courier and other mailing services
  • Manage departmental room booking
  • Maintain digital and paper files as required and per retention schedule
  • Update and maintain data bases as required
  • Create purchase orders using the organisations  finance systems (OPeRA, SAP)
  • Process invoices using the above systems
  • Process expense claims within guidelines
  • Research and book travel and accommodation as requested
  • Support diary management for managers, organising and coordinating meetings and events as required
  • Research, organise and book travel arrangements, preparing accompanying travel documents, meeting papers and other relevant information
  • Provide administrative support to the Team Administrator, supporting expenditure processing, project support, room bookings, catering and refreshment requests

 

Skills & Experience required:-

  • Proficient knowledge of MS Office, including Word, Excel, PowerPoint, Outlook (email and electronic diary management), and the ability to use a database
  • Well-developed organisational skills and experience of scheduling events, prioritisation, monitoring of deadlines, accurate and comprehensive records and filing management
  • Demonstrable ability to work independently, to be proactive, use initiative and to apply knowledge flexibly in a range of solutions
  • Confident communicator with good interpersonal skills, the ability to liaise and work effectively across teams and with a variety of stakeholders both internal and external
  • Ability to manage highly confidential and sensitive matters with discretion and tact
  • Familiarity with OPeRA, SAP or other similar financial packages would be advantageous
